Apple School Manager Powerschool Exports

This page is intended to show Powerschool administrators and support staff how to export out all the data needed for Apple School Manager.  Since there is no approved plugin on Powerschool, the data that Apple School Manager will require must be exported out and imported via SFTP site.  In total you will be obtaining 6 files with the instructions in this article.  Please note that 1 of those 6 files will need to be exported from DDE.  If you do not have DDE access please reach out to the SBTC support desk for assistance with this file.  To export out the data you will need to: 

  1. Log into Powerschool Admin portal
  2. Select ALL students
  3. On the lower right hand side click the arrow button to bring up a list of group functions
  4. On the Group Functions menu click on "Export Using Template"
  5. On the Export Using Template Screen  you are going to want to Export the following:
    1. Apple School Manager - Students
      • You will want to select Students under Export Type
      • Select "The selected xx students", where xx is the ALL students selected on step 2
    2. Apple School Manager - Staff
      • On the Powerschool Start page click the "Staff" tab
      • Select "ALL" or "Teachers"
      • Click "Functions" on the next screen
      • Click "Export Using Template"
      • You will want to select Teachers under Export Type
      • Select Apple School Manager - Staff
    3. Apple School Manager - Courses
      • You will want to select "Courses" under Export Type
      • Select Apple School Manager Courses
    4. Apple School Manager - Classes
      • You will want to select "Student Schedules" under Export Type
      • Select "The selected xx students", where xx is the ALL students selected on step 2
      • On the Export you are going to want to merge or concatenate Column 2 and 3.  
      • You can merge the 2 columns with a hyphen between the 2 columns. i.e. HR100-101 
    5. Apple School Manager - Rosters
      • You will want to select "Student Schedules" under Export Type
      • Select "The selected xx students", where xx is the ALL students selected on step 2
    6. Apple School Manager - Locations
      • For this step you will want to Open Excel
      • Make 2 columns with the headers of:
        • Location_ID
        • Location_Name
      • Under the first Column you can find that ID by going to School Setup > Next School > School Number
      • Under the second Column you can find the School Name by going to  School Setup > Next School > School Name
      • Save the file as CSV
  6. Open ALL files in Excel and Save as CSV type.

 

Apple School Manger Upload

Once you have finished putting together the 6 files mentioned above from Powerschool, you are going to want to upload them to Apple School Manager next.  Please Note that all files need to be in csv format.  Excel can save those exports into csv files using the "Save As" function.
